Service Overview- Our conference room rental service provides businesses with a fully equipped space for meetings, seminars, workshops, training sessions, presentations, and other professional events. Each room comes with high-speed internet, projectors, whiteboards, flip charts, and a comfortable seating arrangement to accommodate a variety of group sizes.
- We offer flexible booking options, ranging from short hourly bookings to full-day and multi-day rentals, ensuring that your event fits seamlessly within your schedule.
2. Booking and Reservations- Bookings can be made via our online booking system, by email, or by phone. All reservations must be made at least 48 hours in advance to guarantee availability. For large or multi-day events, we recommend reserving the room at least one week in advance.
- When booking, please provide accurate details, including the start and end time of your event, the number of attendees, and any additional services you may require. This will ensure that your needs are met and that the room is prepared accordingly.
3. Payment Terms- Payment for the conference room rental must be made in full at the time of booking. We accept payments via credit/debit cards, bank transfers, and other online payment methods.
- Additional charges may apply for extra services such as catering, AV equipment, printing, or additional hours beyond the agreed rental period. These fees will be confirmed prior to the event and must be paid upon arrival or invoiced according to the rental agreement.
4. Cancellation and Refund Policy- Cancellations made at least 72 hours before the reservation date will be eligible for a full refund.
- Cancellations made between 72 and 24 hours before the event will incur a 50% cancellation fee of the total booking amount.
- No refunds will be provided for cancellations within 24 hours of the scheduled start time or for no-shows.
5. Usage Guidelines- The conference room should only be used for the purposes stated in the booking agreement. Any activities unrelated to the intended use of the room, including but not limited to social gatherings or unauthorized events, are strictly prohibited.
- Renters must ensure that the room is kept in a clean and tidy condition during and after the event. Any damages to property or equipment will be charged accordingly.
- Noise levels should be kept to a minimum to avoid disturbing other tenants or businesses within the building. If your event requires additional privacy or soundproofing, please let us know beforehand, and we will do our best to accommodate your needs.
6. Equipment and Services- Basic AV equipment, including a projector, screen, microphone, and whiteboard, is included in the rental price. If you need additional items, such as video conferencing equipment, advanced sound systems, or additional lighting, these can be arranged for an additional fee.
- Any special requests or requirements for the room setup (e.g., seating arrangement, additional equipment) should be communicated at least 48 hours prior to your event to ensure availability.
7. Access and Availability- Conference rooms are available during regular business hours unless otherwise agreed upon. For events outside of standard hours, 24/7 access may be arranged, subject to availability.
- Access to the conference room will be granted at the specified reservation time. If additional time is needed, please notify us in advance to avoid conflicts with other bookings. Late check-out fees may apply if the room is not vacated on time.
8. Liability and Responsibilities- The renter is responsible for the conduct of all participants during the event. If any damage occurs to the property or equipment during the booking period, the renter will be charged for the repair or replacement costs.
- We are not responsible for any personal belongings brought into the conference room. Renters are encouraged to keep valuables secure and, if necessary, arrange for insurance coverage for any items brought onto the premises.
9. Security and Privacy- Your privacy is important to us. We ensure that all events held in our conference rooms are secure and confidential. If you are hosting a confidential meeting, please notify us so that we can take extra precautions to safeguard your privacy.
- All conference rooms are monitored by security cameras in common areas for safety purposes. Renters should ensure that any sensitive documents or personal items are securely stored.
10. Amendments to Agreement- We reserve the right to modify or update these Terms and Conditions at any time. Any changes will be communicated to renters in advance, and the updated terms will be available on our website.
- If any part of these Terms and Conditions is deemed invalid by a court of law, the remaining provisions will continue to be valid and enforceable.
11. Force Majeure- Neither party will be held responsible for delays or failure to perform their obligations under this agreement due to circumstances beyond their control, including but not limited to natural disasters, strikes, government regulations, or technical failures.
12. Governing Law- These Terms and Conditions are governed by and construed in accordance with the laws of the United Kingdom. Any disputes arising from this agreement will be resolved through the appropriate legal channels within the United Kingdom.
